Where ServiceM8 is genuinely better

We are not going to pretend otherwise. ServiceM8 has been building since 2009, is bootstrapped and founder-led, and is rated 4.5 on Capterra across 311 reviews and 4.6 on the App Store across 824 ratings. The praise is consistent: simple, fast to set up, and customers like the automated "on our way" notifications. It won Xero's Small Business App of the Year in 2021 and 2023.

The pricing is hard to beat. Paid plans start at $29 a month with unlimited users, and version 14 added an AI Phone Agent, an Office Agent that chases quotes and overdues, and Tap to Pay. If your business is break-fix service with one owner and a handful of techs on iPhones, ServiceM8 is a very good product at a very good price.

Where the ceiling is

Australian reviewers and advisors who work with ServiceM8 customers describe the same ceiling. Around 20 staff it "feels strained"; around 50 field staff is the practical limit. The Premium Plus tier caps at 1,500 jobs a month, with extra jobs billed at 20 cents each, and critics note that job-volume pricing makes costs unpredictable in busy months.

But the ceiling is usually not headcount. It is the shape of the work. The moment your business takes on a multi-week installation, a program of works for a utility, or a head-contract with claims and variations, you hit gaps that no add-on closes.

Progress claims and variations

ServiceM8 offers partial / progress invoicing from the Starter tier: deposits and part-invoices on long jobs. That is not the same thing as a progress claim. There is no claim schedule, no retention, no variations register, and no way to produce a claim that stands up when the client's QS pushes back. An independent 2026 review puts it plainly: "no progress claims or variations handling."

Colobbo runs claims and variations natively. Every claim traces to the job, the inspection evidence and the approved variation behind it. That is what "without disputes" means in our positioning: the paperwork is built as the work happens, not reconstructed at month end.

Multi-stage projects

ServiceM8 is a job system. Reviewers note there is no native project management for large jobs, no multi-site jobs, and no role, territory or business-unit control. An Australian ERP consultancy lists "a complex, multi-stage installation project that spans weeks or months" as the point where ServiceM8 customers start bolting on external tools.

GIS maps and data

ServiceM8's map is Google Maps for routing ("Route My Day"), staff location tracking and, on Premium, Location Insights. That is useful for a service van. It is not GIS.

Colobbo has GIS maps and data built in. Assets, defects, inspection points and jobs sit on GIS maps rather than as a list of addresses, and the GIS data stays with the job. For utilities, infrastructure and environmental work, this is the difference between a job list and an operating picture. No competitor in this category offers it.

Subcontractors

ServiceM8 Network lets you send a Network Request that a subcontractor can view through a browser link. For the full workflow, though, the subbie needs their own ServiceM8 account. The alternative ServiceM8 suggests is setting contractors up as staff.

Colobbo's subcontractor portal is free and purpose-built. Subbies get their scope, their tasks and their evidence requirements, and you get their completions and claims flowing back into the same project. No seat cost, no second system.

Android in the field

ServiceM8's full app is iOS. Android users get ServiceM8 Lite, and "No App for Androids" is a recurring complaint in reviews. Colobbo ships a full app on both platforms. If your crews carry whatever phone they carry, this matters more than it sounds.

Customisation and support

ServiceM8 customises through add-on toggles, job templates, a form builder, automation rules, Zapier and an API. It does not do bespoke configuration for individual clients. One long-term customer described feature requests as "your way or the highway."

Colobbo customises per client. Our engineers configure the platform around how you actually run work, and clients get direct feature-request access to the engineering team. Straight answer for a 15-user team: on ServiceM8 you will pay somewhere between $79 and $349 a month depending on job volume. On Colobbo you will pay more than that. Meaningfully more. If the extra cost does not buy you claims that get paid, disputes that do not happen, and a project view you currently assemble in spreadsheets, do not switch.
